Job Overview

We are recruiting for our team in Leeds and are currently seeking to hire an enthusiastic and motivated Documentation Administrator to help support the Project Management team. This is a permanent, full time position and progression opportunities are available.


About the Job


You will be responsible for the general maintenance of documents produced by the Project Management (PM) and Project Coordination (PC) Teams (circa 10 Project Managers and 4 Project Coordinators), as well as the organizing, gathering, scanning, and filing of all applicable documents into appropriate electronic and/or paper copy locations. You may also assist in the archival of appropriate study related documents. This is an important role and one where you will gain a great insight into the Clinical Research industry working with a great group of talented individuals on a daily basis.


Responsibilities include:


  • Working directly with the assigned Project Managers and Project Coordinators to review and finalize the Trial Master File (TMF ) Plan and Index for individual projects
  • Creating and/or maintaining any general document/file-related tracking forms and/or spreadsheets, as applicable
  • Maintaining the TMF by interacting directly with project teams in securing documents for the TMF
  • Working with the PM/PC, involved project teams, and applicable business partners for reconciliation of the TMF as part of the quality control process


About You


The successful candidate will possess:


  • A solid Administration background with good attention to detail and the ability to work independently as required
  • Good written and verbal communication skills
  • Experience working with computers and basic programs (i.e. Adobe Acrobat, Word, Excel, Power Point)
  • Good organizational skills, with the ability to meet urgent deadlines and work in a fast-paced setting
  • Comfortable with performing familiar tasks repeatedly



  • Documentation handling experience
  • Prior knowledge/experience of working with electronic trial master file systems

Education / Qualifications


High School Diploma or equivalent.


Minimum Required:

  • Strong written and verbal communication skills (English language)
  • Experience working with computers and basic programs (i.e. Adobe Acrobat, Word, Excel, Power Point)
  • Strong organizational skills, with the ability to work in a fast-paced setting with many interruptions.
